Library data storage changes, and what this means for you
On 17 May 2024, Grey District Library is making a change to the way we store your data.
What is happening?
We are migrating to a new server that offers enhanced modern digital library services and management systems, while maintaining robust security of library and customer information.
This change is being implemented by many public libraries throughout New Zealand, including Grey District Library.
What will happen to my personal information?
Your customer record contains the information you provided when you joined the library. This may include your name, date of birth, phone number, email address, and contact addresses.
Currently, this information is held in data centres located in Christchurch and Auckland.
From 17 May, your information will be stored in secure, encrypted data centres in Melbourne and Adelaide. These new data centres meet the highest international standards for security and reliability, and your information will still be protected under New Zealand privacy laws.
Can I opt out of this change?
As this is a full system migration, all library membership information will be moved to the secure data centres in Australia, so to opt out you will need to cancel your membership.
Even though these centres use an encrypted virtual private network, and will not be exposed to the public internet, we would understand if you do not wish your library information to be moved.

While borrowing is not possible without library membership, there are many in-library services that remain available to you even if you decide to end your membership with us, such as free Wi-Fi, public computers, printing, and even just a warm place in winter.
Impact on library services in May 2024
During the data migration, library customers will be unable to access electronic library resources. This work is scheduled between 8.00pm on Wednesday 15 May and 8.00am on Friday 17 May.
This will affect access to our online resources including the catalogue, eBooks/eAudio, Library App, and Kanopy.
The physical library will remain open during our usual business hours, so you can still borrow items in person during this time – including any existing holds. There might be some delays at the checkout desk, so please allow time for this.
Returns due in May
You will not need to return items to the library between Tuesday 14 May and Wednesday 22 May as we have extended all due dates.
How was this decision made?
Grey District Library is a member of a New Zealand-wide consortium of public libraries called Kōtui, which is managed by the National Library of New Zealand.
The National Library, as part of the Department of Internal Affairs (DIA), followed the expected project protocols to ensure that all systems and vendors involved were compliant with DIA security requirements.
The National Library then shared all project documentation with Grey District Council. Based on this information our management team agreed to this infrastructure change, as did all other members (40 local councils) of the Kōtui consortium.
